In short: we use the details you give us to respond to enquiries, arrange and carry out work, maintain service records, invoice customers and, where you have chosen to receive them or where the law otherwise allows, send relevant service reminders. We do not sell your personal information.

- your name, business or practice, phone number, email address and postcode or service location;
- autoclave make, model, serial number, error codes, fault descriptions and other equipment/job details;
- enquiry, booking, service, repair, Written Scheme of Examination, quotation, invoice and payment records;
- communications with us and your preferences for future service reminders;
- for group bookings, information supplied by the organiser about participating people or practices.

3. Why we use your information
We process personal information to respond to enquiries, provide quotations, arrange visits, perform contracted services, maintain technical and service records, manage accounts and invoices, deal with complaints or claims, protect our systems and meet legal or regulatory obligations.
4. Our lawful bases
- Contract / steps before a contract: to deal with your enquiry, quote, booking and work requested.
- Legal obligation: where records must be kept for tax, accounting or other legal requirements.
- Legitimate interests: to run and protect our business, maintain appropriate service records, respond to business contacts and establish or defend legal claims, where those interests are not overridden by your rights.
- Consent: where you opt in to electronic service reminders or marketing and consent is required. You can withdraw consent at any time.
5. Service reminders and marketing
Submitting an enquiry does not automatically sign you up to marketing. Where we send electronic marketing or promotional service reminders to individuals, sole traders or certain partnerships, we will do so only where PECR permits it — for example with valid consent or a lawful existing-customer soft opt-in — and every marketing message will provide a simple way to opt out.
6. Who we share information with
We may use trusted providers for website/form hosting, email, job management, business records, accounting, IT support and secure data storage. We may also disclose information where required by law, to regulators, insurers, professional advisers or law-enforcement bodies. Providers acting for us are expected to protect the information and use it only for the agreed purpose.
7. International transfers
If a service provider processes personal information outside the UK, we will use an appropriate UK data-transfer safeguard where required, such as an adequacy regulation or approved contractual safeguards.
8. How long we keep information
We do not keep personal information indefinitely. Enquiries that do not become jobs will normally be reviewed for deletion after 24 months. Customer, job, service, financial and tax records may normally be retained for up to 6 years where needed for accounting, tax, contractual, warranty or legal purposes, and longer only where a specific legal, safety or claims-related reason requires it. We review retention periods and delete or anonymise information when it is no longer needed.
9. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to certain processing, receive portable data, and withdraw consent. To exercise a right, email info@sterinovamedical.co.uk. We may need to verify your identity.
